Getting Started with Fast Hiring

Welcome. This walks you through everything you need to do to set up your first session.

Step 1: Create Your Job

Every session needs a job, so this is where you'll start.

Fill out the job basics.

Enter your Job Title (100 characters max), and the rest of the required job information. Leave Company blank and it'll automatically use your organization's name. There's no need to fill that in unless you want something different to appear.

Set your compensation.

All compensation fields are required.

Write your job description.

You've got up to 6,000 characters. Type it directly into the field, paste it in from somewhere else, or upload a Word document if you've already got one written.

Add schedule and shift details (optional).

If your role has set days or shifts, you can note them here. If you select a day, be sure to add a time range with AM/PM. The system needs both.

Finish up.

You can create the job now, or save it as a draft and come back to finish it later.

You're done with step 1

You now have a job. Next, you'll build a session around it.

Step 2: Create Your Session

A session is the actual interview event: the dates, times, and details candidates will register for.

Attach your job.

Start typing your job's name in the Select a Job field. A dropdown will appear, and clicking your job connects it to the session.

Name your session.

You'll set two names. The Internal Session Name is for your team only, and candidates never see it. The Session Name is what candidates will actually see.

Set your timing.

Choose your interview length along with a start and end time. Fast Hiring uses these to calculate how many interview slots will be available.

Plan ahead.

Sessions can't be scheduled sooner than two days from today. If you're hoping to interview candidates tomorrow, that's not possible yet, so build in at least two days of lead time.

Add your interviewers.

Select who's conducting interviews for this session. If someone you need isn't showing up in the list, you'll need to add them first. Go to Settings, then User and Role Management, then come back to your session.

Set your capacity planning.

Two numbers help you estimate turnout. Registration % is the share of invited candidates you expect to actually register. Show % is the share of registered candidates you expect to actually show up.

Defaults are 20% for Registration and 30% for Show. You can adjust these yourself, or use the Hiring Pipeline Calculator for help.

Finish up.

You can create the session, save it as a draft, or send it for Manager approval if your organization uses that step.

You're done with step 2

Your session exists. Now you'll set it up so candidates can register and interview.

Step 3: Set Up Your Session

This is where you build out everything a candidate will see and do. You'll find each of these as sections inside your session.

Check your Session Set Up Progress.

This is your checklist. It shows everything still needed before the session is ready to go live. Use it to track what's left.

Add your candidates.

Go to the Candidates section and add your list. Type entries in manually, copy and paste from a table, or upload a file (.xlsx, .xls, or .csv).

Once your list is in, press Save next to the Candidate Summary. This step is easy to miss, and your list won't be saved without it. You can edit or re-download your list anytime.

Customize your registration page.

This is the landing page and message candidates see when they register for your session. Make it sound like you.

Add pre-screening questions (optional).

If you want to screen candidates at registration, add your questions here.

Customize your invitation email.

Before you can send invitations, you need at least one candidate in your list and your schedule fully set up. Once you send, you'll see delivery status for each candidate right below the email template.

Set up your Interview Sessions page.

This is the check-in experience candidates see on interview day. You can customize the Check-In Title and description here.

Know how to join as an interviewer.

When it's time to interview, go to the Interviewer Room and click your name in the list to join.

Tip

Download the candidate template first and format your list to match it. This makes the upload much smoother. And if you're running low on invites, use the Get More Invites button next to your remaining invites bar.
