Frequently Asked Questions

Quick answers on running sessions, managing your subscription, handling candidate data, and staying compliant. For step-by-step walkthroughs, see the guides.

Account & Settings

Go to Settings. Under Organization and Branding, click the button to edit your contact info.

Go to Settings, then User Role Management. You'll find an Invite User button there, along with buttons to change or remove a role next to each name on your team list.

Go to Settings, then User Role Management. Below your list of team members, you'll find a breakdown of what each role is permitted to do.

Go to Support and click +New Ticket.

Sessions & Interviews

Every session has to be connected to a job before it can be created. All fields in the session need to be filled out, and the job attachment is one of them.

Go to Interview Sessions, find the session in your list, and click View Session. At the top of the page, click Adjust Schedule.

If candidates have already applied, they will not receive any notification that the session date or time has changed.

You can upgrade your subscription plan to get more sessions per month. Or you can buy more sessions from Settings, then Billing and Subscription, then Buy Additional Sessions.

To get more invites for a specific session, go to Interview Sessions, find the session, and click View Session. In the Invitations section, you'll see a Get More Invites button next to your remaining invites count.

Go to Interview Sessions, find the session in your list, and click View Session. Scroll to the bottom of the page and open the Interviewer Rooms accordion. You can click on your name to go to the interview room.

Billing & Subscription

Go to Settings, then Billing and Subscription, then Billing and Invoices. On the next page you'll find both a Pause button and a Cancel Subscription button.

Go to Settings, then Billing and Subscription, then Manage Plan. You can choose from four plans: Standard, Growth, Scale, and Pro.

Go to Settings, then Billing and Subscription, then Billing and Invoices. Click Manage Payment and Billing, and you'll be able to add a new payment method or update your existing one on the next page.

Go to Settings, then Billing and Subscription, then Billing and Invoices. You'll find the Download Data button on that page.

If a scheduled charge fails, we'll automatically retry it, and you'll get an email notification after each failed attempt. If all retries are unsuccessful, your account moves to view-only access. You can still log in and see your dashboard, existing jobs, and analytics, but you won't be able to create new sessions, post new jobs, or add team members.

You can restore full access anytime by updating your payment method in Settings. If payment isn't resolved within 30 days of the first failed charge, your account will be treated as canceled. Your data is retained during this period and for 180 days after cancellation.

Your free trial requires a credit card to start, and it will automatically convert to a paid subscription at the end of the trial period at the subscription fee shown to you at signup. We'll send a reminder email at least 3 business days before your trial ends. If you don't want to continue, cancel before then to avoid being charged.

Subscription fees are non-refundable, except where required by law. If you cancel, you keep full access through the end of your current paid billing period. There are no partial refunds issued for the unused portion.

Sessions and candidate invitations are allocated per billing period and don't roll over. If you pause, you can keep using any sessions remaining from your last paid period until they're used up. After that, your account moves to view-only.

If you cancel, unused sessions from your current period expire at the end of that period. Ad-hoc session purchases are separate: they expire 90 days from purchase if unused, and are non-refundable.

Candidate Data & Privacy

We retain your account and candidate data for 180 days after cancellation or termination. During that window, you can request a full export in JSON format, and we'll get it to you within 10 business days of a written request. After the 180 days, we delete or anonymize the data.

A few records are kept longer regardless of deletion requests, because we're legally required to: email bounce and unsubscribe records, and consent logs (for CAN-SPAM compliance and proof of consent). These contain only minimal information: email address, timestamp, and consent status. They are never used for marketing or active processing.

No. We don't sell personal information, and we don't share it for cross-context behavioral advertising. We don't use candidate data for our own marketing or advertising purposes either. It's used solely to run the hiring workflow you set up.

Email privacy@fasthiring.ai, or use the web form at fasthiring.ai/privacy-request.

For candidate data tied to a specific hiring process, we'll forward the request to the employer running that session and help process the deletion within their legal deadline. For data we control directly (like account or billing info), we'll process the request within 45 days.

We'll verify identity before acting on any request. If we decline a request, you can appeal by emailing privacy@fasthiring.ai with “Privacy Request Appeal” in the subject line.

Employer Compliance Obligations

You're responsible for TCPA compliance before we send any text on your behalf. That means getting prior express written consent from each candidate using compliant opt-in language, and keeping those consent records for at least 5 years.

Yes. Compensation information is required on every candidate registration page. This can be a pay range, hourly rate, annual salary, or “up to” rate, whichever fits the role. We don't review or verify compensation disclosures, so the accuracy responsibility sits with you.

Any prescreening questions or knockout criteria you set up have to be directly tied to actual job requirements, non-discriminatory, and free of questions touching race, religion, sex, national origin, age, disability, pregnancy, genetic information, or other protected characteristics, unless a documented occupational qualification applies.

Interviews & Platform Behavior

No. Live Interviews run on our self-hosted video infrastructure, and we don't currently offer recording functionality or store any audio or video content from interviews.

No. We don't use AI, automated scoring, or algorithmic ranking to evaluate candidates, and we don't extract or analyze biometric data like facial geometry or voiceprints from audio or video streams. Prescreening on the platform is a rule-based pass/fail check that employers configure themselves. Every candidate evaluation is made by human interviewers on the employer's side.
