This Privacy Policy describes how Fast Hiring LLC, doing business as FastHiring, collects, uses, processes, and discloses personal information in connection with access to and use of our website, platform, and related services.
By accessing or using the Service, you acknowledge that you have read and understood this Policy.
I. SCOPE OF THIS POLICY
This Policy applies to personal information collected in connection with use of the Service, including when you create an account, participate in hiring workflows, communicate with us, or otherwise interact with the platform.
Customer Obligations Regarding International Use. The Service is intended for users located within the United States. Customers are responsible for ensuring their use of the Service complies with all applicable laws, including the laws of any jurisdiction where their candidates are located. See the Terms of Service and Employer Responsibility Agreement for Customer obligations regarding international use.
II. ROLES AND DATA PROCESSING FRAMEWORK
FastHiring operates primarily as a service provider and processor processing personal information on behalf of its Customers. Customers act as the data controllers and determine the purposes and means of processing candidate and user data. FastHiring processes personal information only as necessary to provide, maintain, support, and improve the Service in a manner consistent with Customer instructions.
To the limited extent FastHiring processes personal information for its own operational purposes, including account administration, billing, security, and platform integrity, FastHiring acts as an independent controller solely for those purposes.
III. INFORMATION WE COLLECT
Identifiers — name, email address, phone number, username, IP address, device identifiers, and login credentials
Professional or Employment-Related Information — resumes, work history, qualifications, and responses to application or interview questions
Commercial Information — billing and transaction records
Internet or Other Electronic Network Activity — browser type, pages visited, interaction data
Communications Data — support inquiries and correspondence
Inferences — usage patterns drawn from the above to maintain platform performance and security
Sensitive Personal Information
FastHiring does not intentionally collect sensitive personal information. However, because Customers may upload resumes, cover letters, or interview responses, FastHiring may incidentally receive sensitive personal information — including racial or ethnic origin, religious beliefs, and other protected characteristics. FastHiring does not use such sensitive personal information for any purpose beyond facilitating the hiring workflow on behalf of the Customer. Customers are responsible for ensuring that any uploads containing sensitive personal information are legally permitted.
A Notice at Collection summarizing the categories of personal information collected at registration and our purposes is presented at the point of data collection on the candidate registration page, above the SMS consent and terms acceptance checkboxes.
IV. REAL-TIME COMMUNICATIONS
The Service may facilitate real-time audio and video interactions between users. FastHiring does not currently provide end-user-facing recording functionality and does not store the audio or video content of interviews. If recording functionality is introduced in the future, FastHiring will implement notice and consent mechanisms that comply with applicable federal, state, and local recording consent laws, including all-party consent requirements, before any such feature becomes available.
V. PURPOSES OF USE
FastHiring processes personal information to provide, operate, maintain, and support the Service; facilitate hiring workflows; send emails and SMS on behalf of Customers; monitor security and integrity; respond to support inquiries; process payments; and comply with legal obligations. FastHiring does not sell personal information and does not use candidate data for advertising or independent marketing purposes.
FastHiring uses email delivery tracking provided by its email service provider to monitor whether emails are delivered, opened, and clicked. This information is used to maintain email deliverability, identify delivery failures, and provide campaign performance metrics to Customers. Open tracking uses a small image embedded in HTML emails; click tracking routes links through the email delivery provider.
FastHiring does not engage in profiling. Employer-configured prescreening questions are rule-based and configured solely by the employer — not profiling, automated scoring, or algorithmic decision-making by FastHiring.
FastHiring does not share personal information with third parties for their own direct marketing purposes.
Your Privacy Choices
FastHiring does not sell your personal information and does not share your personal information for cross-context behavioral advertising. If this practice changes in the future, FastHiring will update this Policy and provide opt-out mechanisms before any such change takes effect.
If you are a California resident and wish to limit the use of your sensitive personal information, contact privacy@fasthiring.ai. FastHiring does not use sensitive personal information for purposes beyond what is necessary to provide the Service.

VI. DISCLOSURE OF INFORMATION
FastHiring does not sell personal information. Personal information may be disclosed to service providers supporting operation of the Service. FastHiring may disclose information where required by law or to protect the rights, property, or safety of FastHiring or its users. In the event of a merger or acquisition, personal information may be transferred as part of the transaction.

VII. DATA RETENTION
FastHiring retains personal information for the following periods:

Data in automated backup and archival systems may persist beyond the stated retention periods but will be overwritten in the ordinary course of system operations and will not be used for active processing. Data subject to a verified deletion request will be removed from active systems within the stated timeframes; removal from backup systems will occur as backups are rotated.
VIII. DATA SECURITY
FastHiring implements reasonable administrative, technical, and organizational safeguards to protect personal information, including encryption in transit and at rest, access controls, and secure infrastructure. No system is completely secure and FastHiring does not guarantee absolute security.
IX. USER RIGHTS AND REQUESTS

Certain records are retained regardless of deletion requests where required by law, including email deliverability records (bounce and unsubscribe status) maintained for CAN-SPAM compliance and consent and acknowledgement logs maintained for legal compliance. These records contain minimal information (email address, timestamp, and consent status) and are not used for marketing or active processing.
B. Candidate Data
To request deletion of your data, contact privacy@fasthiring.ai. For data processed on behalf of an employer, FastHiring will forward your request to the applicable employer and assist in processing the deletion within the employer’s applicable legal deadline. For data FastHiring controls directly, FastHiring will process the request within 45 days.

We will respond to verified requests within 45 days. If additional time is needed, we will notify you within the initial 45-day period and may extend by an additional 45 days where permitted by law. Where a copy of personal information is requested, FastHiring will provide it in a structured, commonly used, machine-readable format such as JSON to the extent technically feasible.
D. Verification
We will take reasonable steps to verify your identity before processing your request. We will not fulfill requests we are unable to reasonably verify.
E. Authorized Agents
California residents may submit requests through an authorized agent. We may require written proof of authorization and may verify your identity directly.
F. Appeals
If we decline to act on your request, you may appeal by contacting privacy@fasthiring.ai with the subject line “Privacy Request Appeal.” We will respond within 45 days. If your appeal is denied, you may contact your state Attorney General.
X. COOKIES AND TRACKING TECHNOLOGIES
The Service uses cookies and similar tracking technologies to maintain functionality and manage sessions. FastHiring does not use advertising, marketing, or analytics cookies.

Users may control cookies through their browser settings. Disabling cookies may impact Service functionality. FastHiring honors the Global Privacy Control (GPC) signal as an opt-out of any future sale or sharing of personal information for users in California, Colorado, and Connecticut.
Browser Storage
FastHiring uses browser localStorage and sessionStorage to store information locally on your device. This information is not transmitted to FastHiring servers as cookies. localStorage stores user filter preferences, authentication tokens, video room settings, candidate registration details (name, phone number, and email for returning to a waiting room), device preferences, and a persistent client identifier for the video platform. sessionStorage stores interview session state and page analytics during an active session. This information can be cleared through your browser settings.
XI. SECURITY INCIDENTS
In the event of a personal data breach, FastHiring will take prompt steps to investigate, contain, and mitigate the incident. Where FastHiring acts as a service provider or processor on behalf of a Customer, FastHiring will notify the affected Customer without undue delay and in any event within 72 hours of becoming aware of a personal data breach involving that Customer’s data. Where FastHiring acts as an independent controller, FastHiring will notify affected individuals and relevant authorities in accordance with applicable state breach notification law, which may impose specific deadlines (including 30 days in Florida, Colorado, Washington, and Maine). Where required by applicable law, FastHiring will also notify relevant state authorities within the timeframes specified by such law. FastHiring will not unreasonably delay notification in any case.
XII. CHILDREN'S PRIVACY
The Service is not intended for individuals under the age of eighteen (18). FastHiring does not knowingly collect personal information from individuals under 18. If FastHiring becomes aware that personal information has been collected from an individual under 18 without appropriate authorization, FastHiring will take steps to delete such information promptly.
Note for Customers: While federal law (COPPA) covers children under 13, and certain state laws provide additional protections for individuals under 16, some employment contexts legally permit hiring of individuals aged 14 or older. Customers who use the Service in connection with roles that may involve minors are solely responsible for ensuring compliance with applicable child labor and privacy laws, including obtaining any required parental or guardian consent.
XIII. CHANGES TO THIS POLICY
FastHiring may update this Policy from time to time. For material changes — including changes to the categories of personal information collected, purposes of use, disclosure practices, or retention periods — FastHiring will notify affected users by email. For changes subject to the affirmative re-acceptance requirement in the Candidate Terms or Terms of Service, continued use alone will not constitute acceptance of those changes. For non-material updates, FastHiring will post the updated Policy within the Service, and continued use constitutes acceptance.
